How to convert PDF financial tables into editable Excel spreadsheets

Bank statements, invoices, and quarterly reports locked in PDF tables can be extracted directly into structured rows and columns.

Copying a financial statement, bank balance sheet or inventory schedule from a PDF straight into Excel usually goes badly. All the column values get pasted into a single cell, negative numbers lose their parentheses, and decimal places get mangled. Turning PDF tables into structured XLSX files needs an algorithm that rebuilds the table from the position of each piece of text. That is what the PDF to Excel tool does in your browser.

How Tabular Data is Stored in PDF Documents

PDF files have no built-in idea of a "table", "row" or "column". A PDF only holds individual glyphs placed at exact X,Y coordinates on a page (for example, Draw text "$1,250.00" at X=142.5pt, Y=512.0pt). You can see this in the text-drawing operators of the ISO 32000-1 PDF specification.

The 2 Extraction Methods: Stream vs. Lattice

  • Lattice (Border-Based Extraction): Best for tables with visible solid or dashed gridlines. The parser finds the rectangular lines drawn on the page and uses the points where they cross to work out the exact cell boundaries.
  • Stream (Whitespace-Based Extraction): Used for tables without borders. The parser looks at the horizontal and vertical gaps between groups of words and uses them to work out where the columns and rows should be.

Preserving Number Formatting and Formulas

  1. Numeric Value Casting: Makes sure currency values are stored as numbers, not as plain text, so Excel formulas like SUM() and AVERAGE() work straight away.
  2. Handling Multi-Line Cell Wraps: Joins text that wraps onto a second line inside a table cell, so it does not end up split across extra rows by mistake.

If the table has no column structure that can be detected, extract the raw text with PDF to Text and rebuild the columns in a CSV viewer instead.
