How to Put a Header and Footer on PDF Pages

A header and footer tell a reader what they are holding before they read a word. The company name up top, "Page 4 of 12" at the bottom, a date in the corner: these small lines keep a printed stack in order and make a file look properly prepared.

This tool gives you three boxes along the top of the page and three along the bottom: left, centre and right. Start from a template or type plain words, and use the tokens {page}, {pages}, {date}, {filename} and {title}, which fill in on each page. Choose the font, size and colour, watch the preview of your real page, and press the button.

Step-by-Step Guide to PDF Headers and Footers

Five steps, and most people finish in under a minute.

  1. 1. Choose the PDF

    Bring in the PDF with Choose file or by dragging it over. A preview of the first page appears, and you can click a template such as Page numbers, Title and date or Confidential to fill the six boxes in one go.

  2. 2. Fill the header boxes

    The Header row has three boxes marked Left, Centre and Right. Type only in the ones you want; an empty box is simply skipped.

    Common headers:

    • Left: your company or school name
    • Centre: the document title
    • Right: a reference such as REF-2291
  3. 3. Fill the footer boxes

    The Footer row works the same way. This is where page numbers and dates usually go.

  4. 4. Use tokens for changing values

    Tokens are replaced on each page, so one line of setup covers the whole file.

    What they become:

    • {page}: the number of that page, counted from First page number
    • {pages}: the total page count
    • {date}: today, in the Date style you pick
    • {filename}: the file name without .pdf
    • {title}: the title saved in the PDF, or the file name
  5. 5. Choose pages and style

    An empty Pages box covers every page, or enter ranges like 2-10. Switch on "Leave the first page (the cover) blank" if needed. Then choose the lettering, its size (6 to 24 pt), a colour, and how far the lines sit from the edges.

  6. 6. Add and download

    Press "Add header and footer". The stamped copy downloads with "-header-footer" in its name, and a note confirms how many pages were done.

What Are Headers and Footers in a PDF?

A header is a short line of text in the top margin of a page, and a footer is the same thing in the bottom margin. They repeat on every page, carrying details such as a title, an author, a date or a page number, so any single sheet can be identified on its own.

Here they are written into the page itself, in the font and colour you choose, with a slate grey to start. That means they show in every PDF reader, stay put when the file is forwarded, and appear on paper when you print.

Tips for Neat Headers and Footers

  1. Keep each slot short. Two to six words per slot reads well; long sentences will run into the other slots.

  2. Write "Page {page} of {pages}" in the footer centre. It is the layout readers expect.

  3. Look at your PDF first. If it already has text very close to the top or bottom edge, the new lines may overlap it.

  4. The footer sits close to the bottom edge. Print one test page if your printer trims wide margins.

  5. Merge your files first, then add the footer, so page numbers run across the whole pack.

  6. Rename the file before you start if you plan to use {filename}. The token prints the name as it is.

  7. Flick between pages in the preview before saving. Any clash with text near the edge shows up there.

How do I put page numbers in a PDF footer?

Type Page {page} of {pages} in one of the Footer boxes, usually the centre one, and press "Add header and footer". Each page gets its own number and the total. For more number styles and positions, the Add Page Numbers tool has extra options.

Can I add a different header to each page?

Not with typed text. The same layout goes on the chosen pages, but the tokens change per page, so {page} still gives each sheet its own number. For a one-off label on a single page, use Edit PDF.

What date format does the {date} token use?

Pick it under Date style. The first choice writes the month in words, which avoids the mix-up between day-first and month-first dates. A short style and the international year-month-day style are there too.

Can I choose the font or colour?

Yes. Choose Helvetica, Times or Courier, in regular, bold or italic versions, set the size from 6 to 24 pt, and use any colour, chosen from the swatch or typed as a code. It starts in a quiet slate grey.

Will it cover text already near the edge?

It can. The new lines are drawn over whatever is there. If your pages already have text in the top or bottom margin, keep the slot you use short, or choose a slot on the other side.

Does it replace an existing header?

No. Old headers and footers are part of the page and cannot be detected and removed. The new text is added on top, so check that the two do not clash.

Can I write Hindi or Tamil in the header?

Yes. Type it straight into any of the six boxes. Hindi, Tamil and the other Indian languages get a suitable font automatically, and you can check them in the preview first.

Is the header added to every page?

Only if you want. Leave Pages empty for every page, or type ranges such as 2-10, 14. "Leave the first page (the cover) blank" skips the cover, and First page number sets where {page} starts counting.

Will my PDF lose quality?

No. The pages are not redrawn or compressed. Your text stays selectable, and only a few small lines of text are added to each page.

Is my file uploaded?

No. Reading, stamping and saving all take place in the browser on your device. The document is never sent over the internet.

Is it free?

Yes. Stamp as many documents as you want without paying or registering, and the only text added is the text you typed.

Can I change words that are already in the PDF?

These tools add to the page: text, numbers, stamps, borders, headers or watermarks. Rewording what is already printed on a PDF is not their job, so for heavy rewriting, edit the original document if you still have it.

Does Add Header & Footer leave a watermark of its own?

No. It is completely free, and the site adds no logo or mark of its own. The only marks on your pages are the ones you choose to put there.

Will Add Header & Footer work on a scanned PDF?

Yes. Additions such as page numbers, stamps, borders and watermarks are placed on top of each page, so they work on scans just as they do on typed documents.
