How to Compare Two Excel Sheets Cell by Cell
Two copies of the same price list, stock sheet or marks register are on your desk. One has been edited, and nobody wrote down what changed. Flicking between tabs to check hundreds of rows by eye is how errors get past you.
This tool lines the rows up and then checks cell against cell. Pick a key column, such as an employee ID or invoice number, and rows are matched on that value wherever they sit, so a sorted copy still compares cleanly. The result counts changed cells, added rows, removed rows and identical rows, and marks each changed cell with its old and new value.
The workbooks are opened on your own computer. Salary sheets, customer lists and accounts are not copied to a server just to be compared.

1. Open Compare Excel Files
You will find the comparer above this guide, and it needs nothing but an up-to-date browser. A computer screen gives the result table the most room.

2. Add the original workbook
Under Original, choose the older file. XLSX, XLS, ODS and CSV are all accepted. When a workbook holds more than one tab, a Sheet menu lets you choose which to use.

3. Add the changed workbook
Under Changed version, choose the newer file and pick its sheet in the same way. The two files do not need to be the same format; an XLSX can be compared with a CSV.

4. Decide how rows are matched
In "Match rows by", keep Position in the sheet when rows stay in order, or pick a column holding a unique value for each row. The column list comes from the header row of the original.
Good key columns:
- Employee or student ID
- Invoice or order number
- Product code or SKU
- Email address

5. Set what to ignore
Capital letters and extra spaces are ignored from the start, and only changed rows are shown. Untick any of these in the settings column if you need a stricter check.

What is an Excel Comparison?
An Excel comparison checks two versions of a sheet and reports what differs. A simple line-by-line check fails here, because inserting one row near the top shifts everything below it and makes the whole sheet look changed. This tool aligns rows first, either by a key value or by finding the rows that still match, and only then compares cells.
Values are compared as you see them in the sheet. That means a changed price, name or date is caught, while cell colours, fonts, borders and comments are not part of the check.

Tips for Reliable Sheet Comparison

Use a key column whenever the rows might have been sorted or filtered differently. Position matching assumes the same order.

Keep column headings in row 1 of both sheets. It is used as the header and is not counted as data.

Pick a key whose values are unique. If two rows share an ID, only one of them can be matched.

For very large sheets, choose a key column. It is much lighter on memory than matching by position.

Untick Ignore capitals when case matters, such as for product codes or reference numbers.

Check the Sheet menu on both sides. A workbook opens on its first sheet, which may not be the one you meant.

Export the report before you fix anything, so you keep a record of the original differences.

How do I compare two Excel files for differences?
Put last month’s workbook in the Original box and the edited copy in the Changed version box, pick the sheets, choose how rows are matched, and press Compare sheets. You get counts of changed cells, added rows and removed rows, plus a table highlighting each change.
How do I compare two Excel sheets when the rows are in a different order?
Set "Match rows by" to a column that holds a unique value for each row, such as an ID or invoice number. Rows are then paired on that value wherever they appear, so sorting makes no difference.
Can I compare two Excel files without Microsoft Excel?
Yes. The files are read in your browser, so you do not need Excel or Office installed. XLSX, XLS, ODS and CSV files all work, on Windows, Mac, Linux or a Chromebook.
Does it compare formulas or just values?
It compares the values shown in the cells. If a formula changed but gives the same answer, it will not be flagged. A different result from a formula is reported like any other changed value.
Are cell colours and formatting compared?
No. Fill colours, fonts, borders, comments and column widths are not part of the check. Only the contents of cells are compared, which is what matters for most price lists and registers.
Can I compare two sheets in the same workbook?
Yes. Choose the same workbook on both sides, then pick one sheet in the Original Sheet menu and the other sheet in the Changed version menu.
Can I compare an Excel file with a CSV?
Yes. Each side accepts XLSX, XLS, ODS or CSV, and they do not have to match. This is handy when one version came from a system export and the other was edited in Excel.
Is my spreadsheet data uploaded anywhere?
No, it is not. Both workbooks are read and matched up inside this tab. ToolXkit never receives a single cell, so payroll, pricing and customer data stay private.
How do I save the list of differences?
Press Export report in the settings column. It downloads comparison-report.xlsx, with one row per difference showing whether it was changed, added or removed, the key value, and old and new values side by side.
Why is every row showing as changed?
The rows are probably in a different order and are being matched by position. Choose a key column in "Match rows by". Also check that you picked the right sheet on each side.
How many rows can it compare?
We do not set a row limit; your device’s memory does. Matching by a key column handles large sheets well. Matching by position on two very long sheets needs much more memory, so use a key for those.
Does it ignore extra spaces and capital letters?
Yes, from the start. "Ravi Kumar " and "ravi kumar" count as the same. Untick Ignore capitals or Hide whitespace changes if you need an exact match.
Is Compare Excel Files free, and do I need an account?
Yes. It costs nothing, and there is nothing to sign up for. Open the page, add your two files or paste two blocks of text, and the differences appear. There is no trial period and no limit on how often you compare.
Can I compare two different formats, like a PDF and a Word file?
Each compare tool is built for one kind of file, such as PDF, Excel, JSON or plain text. To compare across formats, convert one of them first, or copy the text of both into Compare Text.
