How to Save a Spreadsheet as PDF Online
A spreadsheet is a working file. When you send marks lists, price lists, stock reports or a month of expenses to someone who only needs to read them, a PDF is kinder: it cannot be sorted by mistake, formulas cannot break, and it opens on a phone.
This converter opens your .xlsx, .xls, .ods or .csv on your device and lists its sheets so you can tick the ones to print. Each chosen sheet starts on a new page, with the column widths, row heights and merged cells saved in the file. For .xlsx it also keeps bold and italic text, font colours, cell fills, borders and alignment.
It shows the values Excel saved, formatted as they appear in the cells, and leaves out hidden sheets, rows and columns. Charts and pictures placed on a sheet are not drawn, so think of the output as a printout of the cells. Cells typed in Indian languages print properly, and rupee figures keep their ₹ symbol.

Excel to PDF in Five Clear Steps
The page opens in landscape, which fits most tables. Change it only if your sheet is narrow.
-
1. Get the workbook ready
Hide or delete scratch columns you do not want printed, and save. The converter trims blank edges itself, and hidden rows and columns stay out of the PDF.
-
2. Choose the file and its sheets
Click Choose file or drop the .xlsx, .xls, .ods or .csv onto the box. If the workbook has more than one sheet, untick any you do not want under Sheets to include.
-
3. Set paper and orientation
Landscape is selected for you because most sheets are wider than tall. Switch to portrait for a narrow list.

-
4. Choose how the sheet fits
Fit all columns across the page shrinks a wide sheet to the paper width. Turn it off to keep full-size text, and extra columns print on following pages. Print the gridlines and Repeat the first row on every page are on as well.
-
5. Convert to PDF
Press Convert to PDF. The file takes the workbook’s name. Check the widest sheet first; if its text looks tiny, switch off the fit option or hide a few columns and convert again.
How sheets are laid out:
- Each chosen sheet on a new page, headed by its name
- Column widths, row heights and merged cells from the file
- First row repeated on every new page
- Gridlines on or off

What Happens in Excel to PDF?
An Excel workbook stores cells, formulas, formats, charts and more across one or many sheets. A PDF of it is a fixed page showing the results. This converter takes the displayed value of each cell, the same thing you see on screen after formulas have been worked out, and places it in a table on paper-sized pages.
Column widths come from the workbook itself (a CSV has none, so its columns are sized to their longest entry). With the fit option on, the whole sheet is scaled down to the paper width; with it off, the columns that do not fit carry on to a second page, the way Excel prints. Indian-language, Greek and Cyrillic entries are set in fonts made for them. Characters from Chinese, Arabic, Japanese or Gurmukhi are outside what the converter can draw today, so they print as "?" and the finish message says so.

Why Turn a Spreadsheet Into PDF?
Numbers are easy to change in a spreadsheet, which is exactly the problem when a list is final. A PDF freezes it in a form anyone can open and print.
“Share the figures, keep the formulas to yourself.”
- Figures cannot be retyped by accident
- Prints on proper pages
- Clear ruled tables
- Easy to share in chats
- Opens on phones with no Excel
- Hides formulas and working columns
- Accepted by upload forms
- Good for monthly records
Everyday Uses for Excel to PDF
Here is where people most often need a spreadsheet as a PDF.
- School mark sheets Teachers share class results or attendance with parents and the office as a read-only file.
- Shop price lists Send customers a price list with ₹ amounts that they can read on WhatsApp without any app.
- Stock statements Give your supplier or bank a monthly stock report as a PDF rather than an editable file.
- Household budgets Print a month of spending to review with family or a financial adviser.
- Rosters and timetables Post a duty roster or exam timetable on a notice board or in a group chat.

Excel to PDF Features
What the converter does with your cells.
Pick the sheets
Tick boxes list every visible sheet, with Select all and Clear all. Each chosen sheet starts on a new page, headed by its name.
The look of your sheet
An .xlsx keeps its bold text, font colours, fills, borders, alignment and merged cells. Gridlines can be printed or left off, and the first row can repeat on every page.
Columns fitted to the page
Column widths come from the file. Fit all columns across the page shrinks a wide sheet to the paper; switched off, extra columns go on the next page.
Indian scripts and ₹
Names and notes in Telugu, Tamil, Gujarati, Hindi, Bengali, Malayalam or Kannada print cleanly, and ₹ columns keep their symbol.

Landscape by default
Pages start in landscape to fit more columns. A4, US Letter and Legal are available in either direction.
Numbered pages
Page numbers are added at the bottom by default so a long printout can be put back in order.

When to Convert a Workbook to PDF
A PDF of your sheet is the right call when you are:
- Printing a long table with headers on each page
- Sharing numbers in a group chat
- Sending a statement to a bank or supplier
- Freezing a final version of a list
- Attaching data to an online application
- Hiding formulas from the reader
- Filing a monthly report
- Adding a table to a printed report
Tips for Neat Spreadsheet PDFs
-
Very wide sheets make small text when fitted to the page. Hide columns the reader does not need, or switch off Fit all columns across the page.
-
Put your column titles in the first row. Repeat the first row on every page then prints them at the top of each new page.
-
Keep working notes on a sheet of their own, then untick that sheet under Sheets to include before you convert.
-
Charts are not drawn. Save a chart as a picture and add it to a Word report if it must appear.
-
Formulas show their last saved result, so open and save the workbook in Excel first if the figures depend on today’s date.
-
Drop the margin to 5% or less to buy extra width for crowded tables.
-
For sheets in Punjabi, Chinese or Arabic, use Excel’s own Save as PDF until those scripts are supported here.
Frequently Asked Questions
Answers to common questions about this tool.
How do I convert an Excel file to PDF online?
Choose the .xlsx, .xls or .ods on this page, tick the sheets you want, keep landscape or switch to portrait and press Convert to PDF. Each chosen sheet is printed on its own pages and the PDF downloads immediately.
How do I fit a wide Excel sheet on one PDF page width?
Leave Fit all columns across the page switched on, which it is by default. The whole sheet is scaled down to the paper width. To keep the text larger, use landscape, lower the margin, or hide columns you do not need.
Are all sheets converted?
You choose. Every visible sheet is ticked at the start under Sheets to include, and you can untick any of them. Hidden sheets are not offered, and each chosen sheet starts on a new page with its name as a heading.
Does the header row repeat on every page?
Yes, while Repeat the first row on every page is on. The top row of each sheet is drawn again whenever the table continues on a new page, so long lists stay readable.
Are formulas and charts included?
Formulas are not shown; the PDF prints the value each cell displayed when the file was last saved. Charts, pictures and shapes placed on the sheet are not drawn. The output is the cells in table form.
Will cell colours and fonts be kept?
For .xlsx files, yes: bold and italic, font colours and sizes, cell fills, borders, alignment and merged cells all carry over. Custom fonts print in a similar plain typeface. An .xls, .ods or CSV keeps widths and merges but prints in a plain style. Conditional formatting is not applied.
Can I convert Tamil or Hindi text in Excel to PDF?
Yes. A sheet holding Tamil names, Hindi remarks or entries in the other five supported Indian scripts prints with suitable fonts, and ₹ amounts keep the sign. Anything in Punjabi, Arabic, Chinese or Japanese shows as "?" for now.
Does it work with old .xls files?
Yes. The older .xls is read, and so are .xlsx, LibreOffice .ods and plain .csv files. The colour and border styling is read from .xlsx only.
Is my spreadsheet uploaded?
No. Parsing the workbook and drawing the tables both take place on your own device. Not one cell travels over the network, so payroll and account sheets are safe to convert.
Can I convert Excel to PDF on a mobile?
Yes. Visit this page on Android or iPhone, pick the workbook from your files, then hit Convert to PDF. The finished file lands where your phone normally keeps downloads.
How many rows can it handle?
There is no row cap. A few thousand rows convert comfortably on a laptop; very large sheets need more memory and take longer, especially on phones.
Can I print only one sheet?
Yes. After you choose the workbook, press Clear all under Sheets to include and tick just the sheet you want. Only that sheet goes into the PDF.
Can I hide the gridlines?
Yes. Switch off Print the gridlines and only the borders you drew in Excel are printed, which suits invoices and forms laid out on a sheet.
Will my formatting stay the same after conversion?
Simple layouts usually come through well, including headings, tables and images. Complex documents with unusual fonts, text boxes or tracked changes may shift slightly, so check the preview or the downloaded PDF before sending it anywhere important.
