Banking portals, GST and payroll software, email marketing tools and databases often refuse an .xlsx file and ask for a CSV instead. Opening Excel, choosing Save As and repeating that for every tab is fiddly, and on a phone or a computer without Office it is not possible at all.

    Comma is standard. Pick Semicolon if the file is going to someone whose Excel uses a comma for decimals, as in much of Europe. Tab and Pipe suit some databases and import screens.

What is a CSV File?

The letters CSV are short for comma-separated values. Such a file holds nothing but characters: each line is one row of a table and a separator, usually a comma, marks where one cell ends and the next begins. A cell that itself contains a comma is wrapped in double quotes so it stays in one piece.

Because it is only text, a CSV has no formatting, formulas, colours, charts or multiple tabs. That simplicity is exactly why nearly every program, from Tally and Zoho to MySQL and Mailchimp, can import it.

Tips for Clean CSV Exports

  1. Put column headings in the first row and remove merged cells before converting. Import screens expect one heading per column.

  2. Format date columns the way the receiving system wants, for example DD-MM-YYYY, because the CSV copies what you see.

  3. Keep leading zeros in phone numbers and PIN codes by formatting those columns as Text in Excel first.

  4. If a CSV opens with everything in column A, the reader expected a different separator. Convert again with Semicolon.

  5. To open a CSV with Hindi, Tamil or the ₹ sign correctly in Excel, use Data, then From Text/CSV, and choose UTF-8.

  6. Untick "Convert every sheet" when the portal only needs one tab, so you get a plain .csv rather than a ZIP.

  7. Open the CSV in Notepad once to check the separator and quotes before uploading it to an important system.

How do I change an Excel file to CSV online?

How do I convert all sheets of an Excel file to CSV?

Keep "Convert every sheet" ticked, which it is by default for workbooks with several tabs. Each sheet becomes its own CSV, and they download together in a single ZIP with the sheet names in the file names.

How do I save a CSV with semicolons instead of commas?

Choose Semicolon under Separator before pressing Convert to CSV. This is the right choice when the file will be opened in Excel set to a European region, where the comma is used as the decimal mark.

Why did my leading zeros disappear?

If Excel stored 007 as the number 7 with a display format, the value itself is 7. Format that column as Text in Excel, retype or re-import the codes, and convert again. Phone numbers and PIN codes are the usual victims.

Will formulas be kept in the CSV?

No. CSV has no formulas, so each cell holds the result you would see in Excel. If you need the formulas later, keep your original workbook alongside the CSV.

Are dates and currency preserved?

They are written the way the sheet displays them. A date shown as 05-03-2026 stays 05-03-2026, and ₹1,250.00 stays as shown. Change the cell format in Excel first if the importing system needs something else.

Can I convert an XLS file from old Excel?

Yes. Old .xls files from Excel 97 to 2003 are read just like .xlsx, as are .xlsm and LibreOffice .ods workbooks.

Does my workbook get uploaded for conversion?

No. The workbook is opened by your browser and the CSV is created on your own machine. ToolXkit never receives the file, so confidential figures and personal details stay with you.

Why do special characters look wrong when I open the CSV in Excel?

The CSV is saved as UTF-8 text. Double-clicking can make Excel guess a different encoding, which garbles symbols like ₹ or Hindi letters. Open it through Data, From Text/CSV, and pick UTF-8, and they display correctly.

Can I convert Excel to CSV on my phone?

Yes. Load this converter on your handset, select the workbook in the file picker, and tap Convert to CSV. It is useful when a portal asks for CSV and you have no spreadsheet app on the phone.

Are hidden rows or empty rows included?

Empty rows and columns at the very end of a sheet are trimmed away. Rows that are only hidden in Excel still contain data and are included, so delete them in Excel first if you do not want them.

Do I need Excel installed to use Excel to CSV?

No. The spreadsheet is read by the page itself, so it works on computers without Microsoft Office, and on phones and tablets too. The result downloads in the format you picked.

Can Excel to CSV handle files with thousands of rows?

Usually, yes. Sheets with thousands of rows work well on most devices. Very large files depend on your computer’s memory, so a laptop copes better than an older phone.

Will formulas survive the conversion?

Formats like CSV, JSON and XML store values, not formulas, so a converted file holds the calculated results. Keep your original workbook if you will need the formulas again.
